Operations Assistant (Part-Time, Chicago Hybrid)

THE ROLE

We're looking for a detail-obsessed Operations Assistant to work directly with our founder, owning the inbox and keeping day-to-day logistics running smoothly: reservations, concierge details, invoices, and follow-ups. This is an operational role, not a sales one, and a great entry point into the travel and hospitality world for someone who'd rather nail the details than pitch a client.

RESPONSIBILITIES

  • Inbox management: Sort, prioritize, and action incoming emails for our founder; respond on their behalf where appropriate

  • Concierge arrangements: Book dining reservations, arrange car services, or manage spa appointments

  • Itinerary edits: Handle changes to existing bookings, coordinating with vendors as needed

  • Client follow-ups: Track open items and proactively follow up to keep things moving

  • Payments & invoicing: Process payments and chase down outstanding invoices

WHO YOU ARE

  • Interested in building experience in the luxury travel industry from an operational side

  • Experience in freelance / multi-client work, virtual assistant, executive support, or concierge

  • Detail-obsessed and highly organized!  

  • Strong written communicator, comfortable representing the founder professionally

  • Trustworthy with sensitive info (payments, schedules) and tech-comfortable across email, booking, and payment tools

  • Based in or near Chicago, available for consistent weekday hours and occasional in-person coworking

Location: Chicago, IL (hybrid, in-person 1-2x per week)

Hours: 20 hrs/week

Schedule: Consistent weekday hours preferred (e.g., 8am - 12pm or 9am - 1pm)
